1. Overview and Scope
The Institute of Internal Auditors Sri Lanka (hereinafter referred to as “IIA Sri Lanka” or “the Institute”) values professional excellence and strives to provide the highest standard of service to our members and corporate partners.
This Policy governs all financial transactions concerning Membership Subscriptions, Training Programme Fees, and Conference Fees processed by the Institute. By executing payments to IIA Sri Lanka via our online payment gateways, direct bank transfers, or physical drafts, you explicitly acknowledge and agree to be legally bound by the terms outlined herein.
2. Definitions
For the purposes of this Official Refund and Cancellation Policy, unless the context otherwise requires:
- “Annual Conference” means the official annual conference organised or hosted by The Institute of Internal Auditors Sri Lanka.
- “Business Day” means any day other than a Saturday, Sunday, or a public or bank holiday in Sri Lanka on which banks are open for normal business.
- “Conference” means the Annual Conference or any conference organised, co-organised, or administered by IIA Sri Lanka.
- “Corporate Member” means an organisation or institution that has been admitted to membership by IIA Sri Lanka in accordance with its membership criteria.
- “Credit Voucher” means a non-transferable credit issued by IIA Sri Lanka in lieu of a refund, which may be redeemed towards eligible future training programmes, seminars, workshops, conferences, or other events organised by the Institute within the validity period specified in this Policy.
- “Event” means any seminar, workshop, conference, Annual Conference, networking event, Continuing Professional Development (CPD) programme, webinar, certification preparation programme, or any other event organised or facilitated by IIA Sri Lanka.
- “Force Majeure” means any event or circumstance beyond the reasonable control of IIA Sri Lanka that prevents or delays the performance of its obligations, including but not limited to natural disasters, floods, earthquakes, fires, pandemics, epidemics, acts of government, war, terrorism, civil unrest, industrial disputes, power failures, transportation disruptions, venue unavailability, technology failures, or any other unforeseen circumstance beyond the Institute’s reasonable control.
- “IIA Sri Lanka”, “Institute”, “we”, “our”, or “us” means The Institute of Internal Auditors Sri Lanka, a professional membership body incorporated and operating under the laws of the Democratic Socialist Republic of Sri Lanka.
- “Member” means any individual or corporate entity whose membership application has been approved by IIA Sri Lanka and whose membership remains valid in accordance with the Institute’s Constitution, By-Laws, Policies, and Rules.
- “Membership Subscription” means the prescribed fees payable for new membership registration, annual membership renewal, corporate membership, or any other membership category approved by the Institute.
- “Merchandise” means physical goods offered for sale by IIA Sri Lanka, including but not limited to corporate ties, lapel pins, stickers, coasters, publications, promotional items, and other branded products.
- “Participant” means any individual registered to attend a training programme, seminar, workshop, conference, Annual Conference, webinar, or any other event organised by IIA Sri Lanka.
- “Payment Gateway” means any third-party electronic payment processing service authorised by IIA Sri Lanka to facilitate online payment transactions.
- “Refund” means the repayment of monies by IIA Sri Lanka in accordance with the provisions of this Policy.
- “Secretariat” means the administrative office of The Institute of Internal Auditors Sri Lanka responsible for administering memberships, training programmes, conferences, financial transactions, and member services.
- “Training Programme” means any seminar, workshop, webinar, Continuing Professional Development (CPD) programme, certification preparation course, technical training session, or educational programme organised or facilitated by IIA Sri Lanka.
- “Website” means the official website of The Institute of Internal Auditors Sri Lanka and any associated online portals operated on its behalf.
3. Membership Subscriptions and Overpayments
- Absolute Non-Refundability: All payments made towards new membership registrations, corporate member listings, and annual membership subscription renewals are strictly non-refundable under any circumstances. This includes, but is not limited to, a member’s change of employment, relocation outside the jurisdiction of Sri Lanka, or voluntary resignation from the profession.
- Overpayment Ledger Rule: In the event that a member or corporate entity executes an overpayment or submits duplicate remittances for subscription renewals, no cash or bank refunds will be issued.
- Carry-Forward Protocol: Any documented excess funds will be securely held within the Institute’s general ledger and carried forward to the next membership year as a credit balance. This credit will be automatically applied to offset the member’s subscription dues during the subsequent renewal cycle. Ledgers are audited annually, and carried-forward credits are restricted to one (1) subsequent financial year.
- Carry-forward credits shall remain valid for one (1) subsequent membership year only. Any unapplied credit remaining after the expiry of the one-year carry-forward period shall automatically lapse and be recognised as income of the Institute unless otherwise approved by the Governing Council in exceptional circumstances.
4. Technical Training Programme Fees
Registration for localized seminars, technical workshops, continuous professional development (CPD) courses, and virtual webinars is subject to specific venue caps and administrative logistics. Refunds and cancellations for training registrations are structurally managed as follows:
- Written Notice Requirement: Any request to cancel a training registration must be submitted formally in writing via corporate email to the IIA Sri Lanka Secretariat.
- Seven (7) Business Days or More: If written notice of cancellation is received seven (7) business days or more prior to the scheduled start date of the training, the participant is eligible for a 100% refund (minus any payment gateway processing fees levied by the merchant banks) or a full credit voucher for a future training module.
- Between Three (3) and Seven (7) Business Days: Cancellations requested within this window will incur a 50% administrative penalty. The remaining 50% of the training fee will be held as a credit voucher.
- Less than Three (3) Business Days / “No-Show”: If notice is received less than three (3) business days prior to commencement, or if the registered participant completely fails to attend the session (“no-show”), the registration fee is 100% forfeited, and no refund or credit voucher will be generated.
- Participant Substitution Option: Corporate entities may swap out a registered employee for a peer colleague at no additional charge, provided the Secretariat is formally notified via email at least forty-eight (48) hours prior to the training event.
- Force Majeure and Postponements: In the event IIA Sri Lanka postpones or reschedules the training programme due to structural disruptions, national emergencies, or force majeure events, all registrations will automatically remain valid for the rescheduled training date.
- Where a registered participant is unable to attend the rescheduled training programme, the Institute shall issue a non-transferable credit voucher equivalent to the registration fee paid, which shall be valid for twelve (12) months from the date of issue and may be redeemed against any eligible IIA Sri Lanka training programme, workshop, seminar, webinar, or Continuing Professional Development (CPD) programme. No cash refund shall be payable unless the training programme is cancelled by IIA Sri Lanka without a replacement date being offered.
5. Conference Registration Fees (including the Annual National Conference)
Due to extensive upfront financial commitments required for flagship venue bookings, international speaker logistics, and catering guarantees, the cancellation rules governing the IIA Sri Lanka Annual Conference are strictly enforced:
- Cancellations and Refunds: Conference registration fees are fundamentally non-refundable once payment is cleared.
- Forfeiture Timelines: Due to the significant advance commitments associated with venue arrangements, international speaker logistics, catering arrangements, and other operational requirements, cancellation and refund provisions for the IIA Sri Lanka Annual Conference shall apply as follows:
- Cancellations submitted more than twenty (20) business days prior to the Conference date: the participant shall be eligible for a refund of 50% of the registration fee after deduction of any non-recoverable costs incurred by IIA Sri Lanka.
- Cancellations submitted within twenty (20) business days prior to the Conference date, or failure to attend the Conference on the scheduled date: the registration fee shall be non-refundable and 100% forfeited.
- Force Majeure and Postponements: In the event IIA Sri Lanka postpones or reschedules the Annual Conference or a training programme due to structural disruptions, national emergencies, or force majeure events, all registrations will automatically remain valid for the rescheduled date. If a registered participant cannot attend on the alternative date, the Institute will issue a non-transferable credit voucher valid for twelve (12) months from the date of issue, redeemable for any eligible IIA Sri Lanka conference or training programme.
6. Cancellation by IIA Sri Lanka
Where IIA Sri Lanka cancels a training programme, conference, seminar, workshop, or other event, participants receive:
- A non-transferable credit voucher valid for twelve (12) months.
Where an event is postponed or rescheduled, all registrations shall automatically transfer to the revised date.
If the participant is unable to attend the revised date, IIA Sri Lanka shall issue a non-transferable credit voucher valid for twelve (12) months.
7. Credit Voucher Rules
Unless otherwise stated:
- Credit vouchers issued under this Policy are valid for twelve (12) months from the date of issue.
- Credit vouchers are non-transferable.
- Credit vouchers are not redeemable for cash.
- Credit vouchers may only be used against future IIA Sri Lanka training programmes or conferences.
- Expired credit vouchers shall automatically lapse.
This applies to:
- Training
- Workshops
- Seminars
- Annual Conference
8. Merchandise Sales
From time to time, IIA Sri Lanka may offer physical merchandise for sale, including but not limited to:
- Corporate ties
- Lapel pins
- Stickers
- Coasters
- Publications
- Promotional items
- Other branded merchandise
The following conditions shall apply:
- Merchandise may only be returned where the item supplied is defective, damaged upon delivery, or incorrectly supplied by IIA Sri Lanka.
- Requests for replacement or refund must be made in writing within seven (7) calendar days of receipt.
- Merchandise must remain unused and in its original packaging unless the item is defective.
- Shipping or courier charges relating to returns due to customer error shall be borne by the purchaser.
- Refunds will not be granted for change of mind.
The provisions relating to physical goods shall apply only to merchandise items sold by IIA Sri Lanka, including branded items such as corporate ties, lapel pins, stickers, coasters, publications, and other promotional merchandise. Accordingly:
- Physical Returns and Exchanges: Applicable only to merchandise sales where items are defective, damaged upon delivery, or incorrectly supplied by IIA Sri Lanka, subject to the conditions specified above.
- Return Shipping and Related Costs: Applicable only where a return or replacement of physical merchandise is approved. Any return shipping costs arising due to customer error shall be borne by the purchaser.
- Product Inspection and Verification: Applicable only to physical merchandise where necessary to confirm defects, damages, or incorrect supply.
The above merchandise return provisions do not apply to non-tangible services provided by IIA Sri Lanka, including memberships, training programmes, Annual Conference registrations, events, digital services, examinations, or other professional development activities.

10. Dispute Resolution and Exception Handling
Any dispute arising under this Policy shall first be submitted in writing to the President of IIA Sri Lanka. The Institute shall acknowledge receipt and endeavour to resolve the matter within thirty (30) calendar days.
Where the matter remains unresolved, it shall be referred to the Governing Council of IIA Sri Lanka, whose decision shall be final unless otherwise required by applicable law.
Exceptions to this Policy may only be approved by the Governing Council or an officer formally authorised by the Governing Council. No verbal exception shall be recognised.
11. Payment Gateway Liability Disclaimer
IIA Sri Lanka may utilise the services of an independent third-party payment gateway to facilitate online payments.
While IIA Sri Lanka makes reasonable efforts to engage reputable payment service providers, the Institute shall not be responsible or liable for:
- any interruption, delay, failure, or unavailability of the payment gateway;
- technical errors, system failures, or communication failures affecting payment processing;
- declined, unsuccessful, duplicated, or delayed payment transactions caused by the payment gateway, issuing bank, card provider, or other financial institution;
- any security breach, fraud, or unauthorised transaction occurring within the systems of the third-party payment gateway, except where such liability is imposed by applicable law.
Users are responsible for verifying that payment has been successfully completed. If a payment is debited from a bank account or payment card but confirmation is not received from IIA Sri Lanka, the user should promptly contact the Institute and provide supporting payment evidence for investigation.
Any refund arising from duplicate or erroneous payments shall be processed in accordance with the Institute’s Refund Policy after verification.
